This policy explains what data ChampHive holds for a club, why we hold it, and the rights a club and its families have. ChampHive is operated by Codeantech.
This is a standard starting policy and is not legal advice. A club should have its own lawyer review it before relying on it.
What we hold
Member and family records, the fee ledger, uploaded documents such as medical certificates and consents, attendance, and messages between coaches and parents. A club decides what to enter.
Why we hold it
To run the club: to bill and record fees, track attendance, manage document expiry, and let parents see what they owe. We do not sell club or family data.
Children's data
Clubs hold data about children with the consent of a parent or guardian. Medical documents and chat messages are never sent to any AI model.
Where it is stored
Club data is stored in the EU. The assistant, when a club turns it on, runs through the club's own AI account.
Leaving
A club can export all of its data and request deletion at any time. The data belongs to the club.
